Set up company tax details, add customers, issue PDF/UBL invoices, and record payments.

1. What billing does (and what it does not)

AdServeKit includes an invoicing and accounts-receivable ledger built specifically for digital publishers selling direct advertising.

What it does: Creates professional, sequential invoices for direct sponsorships and marketplace deals, maintains customer records, generates downloadable PDF and standard electronic UBL XML invoices, provides secure online customer review links (/invoice/[token]), and tracks settlement status.

What it does NOT do: AdServeKit is not a credit card merchant or escrow processor. Advertisers pay you directly via bank transfer, wire, or PayPal according to your payment instructions. You record the payment in your dashboard ledger to mark the invoice paid. For an overview of the commercial flow, see Billing in How AdServeKit Works.

2. Create your billing profile

Navigate to Billing → Profiles and click New billing profile.

Enter your legal business name, registered address, and Tax/VAT registration number.

Provide payment instructions: Bank Name, Account Holder, Account Number, IBAN, SWIFT/BIC, and optional PayPal email address. These details appear directly on your customer invoice documents.

Bank details are displayed only on the profile editor, rendered invoice documents, and the customer's private invoice view. They are never indexed or exposed in public search results.

3. Add advertiser customer records

Navigate to Billing → Customers and click New customer.

Enter the advertiser legal company name, billing contact email address, physical address, tax/VAT number, and default payment terms (e.g. Net 30).

Archiving a customer preserves their historical invoice trail while hiding them from new invoice dropdowns.

4. Issuing invoices (Draft to Issued workflow)

Create a draft under Billing → Invoices → New invoice. Select your profile, customer, currency, and add campaign line items.

While in Draft status, you can freely edit or delete lines.

Click Issue Invoice. Issuing freezes the document: it assigns the next sequential invoice number (e.g. INV-2026-0042) and locks an unalterable snapshot of supplier and customer details.

Issued invoices cannot be modified. If an error was made, void the invoice or issue a credit note.

  1. Create a draft invoice and select profile, customer, and currency.
  2. Add line items with descriptions, quantities, unit prices, and tax rates.
  3. Click Issue Invoice to permanently number and freeze the document.
  4. Send the invoice to your customer.

5. Delivering invoices to customers

Email directly: Click Send Invoice to email a branded notification with a secure review link to the customer.

Copy private link: Click Copy Customer Link to share the encrypted link (/invoice/[token]). The recipient can view, verify, and download their invoice without needing an AdServeKit user account.

Download PDF / UBL: Download print-ready PDFs or standard UBL XML files for enterprise accounting software.

6. Recording payments and settling balances

When funds arrive in your bank or PayPal account, open the invoice and click Record Payment.

Enter the amount received, payment method (Bank Transfer, PayPal, Wire, Other), and payment date.

Partial payments update the balance to Partially Paid. Once the remaining balance reaches zero, the invoice status changes to Paid.
